Privacy Policy

This policy explains what personal data we collect through paxis-hk.com, why we collect it, and what you can do about it. It applies to this website and to the emails you exchange with us about an enquiry or a quote.
We are a business-to-business supplier. The website is meant for engineers, buyers and other people contacting us on behalf of their companies. It is not directed at children.
1. Who we are
The controller of your personal data (the "data user" under Hong Kong law) is:

"PAXIS", "we", "us" and "our" in this policy mean this company.

2. What we collect

If you leave out a required field, the form will not send and we cannot reply to your request. Optional fields help us prepare the quote; leaving them blank has no effect on your request.
Please do not put sensitive personal data (for example health information) in the description field. We only need technical and commercial information.
The form contains a hidden field that people cannot see. It is there to catch automated spam and collects nothing about you.
2.2 When you email us
If you email us, including to send drawings, we receive your name, email address, any signature details (such as job title and phone number), and whatever you include in the message and attachments. Drawings and specifications are mainly technical and commercial information. Where they contain personal data (for example an engineer’s name in a title block), we treat it the same way as the rest of your enquiry.
2.3 When you visit the website
Like any website, our hosting provider’s servers automatically record technical data when your browser requests a page: IP address, date and time, page requested, referring page, browser type and operating system, and the HTTP status of the request. These records are used to deliver the website and keep it secure.
We do not use advertising tools, social media pixels, embedded maps or videos, or any other third-party tracking on this website. The fonts are served from our own website, not from an external font service.
3. Why we use your data and our legal basis
The legal bases below are those under the EU and UK General Data Protection Regulation (GDPR). Where other laws apply, we use your data for the same limited purposes.

Where we rely on legitimate interests, we have weighed them against your interests and rights. You can object at any time (see section 9).
We do not send newsletters or marketing emails based on a quote request. We will not use your details for direct marketing unless you have separately agreed to it. We do not sell personal data, and we do not use it for automated decision-making or profiling.
4. Who receives your data
Your data is seen by PAXIS staff who need it to handle your enquiry, including our team in mainland China, who prepare quotes and follow production.
We also use these service providers, who process data for us under contracts that restrict them to our instructions:

To prepare a quote, we share technical information about the parts (drawings, specifications, quantities) with the manufacturing partners in China that we ask to quote or produce them. We do not pass your personal contact details to them unless this is needed for your order and you have agreed.
We may also disclose data to professional advisers (such as lawyers, accountants and auditors), to logistics providers or freight forwarders when shipping your order, to a buyer of our business if PAXIS is sold or reorganized, or to authorities where the law requires it.
5. International transfers
We are a Hong Kong company. Our hosting provider is based in the United States, our email service provider is outside your country, and our staff work in Hong Kong, mainland China and other countries. Your data will therefore be processed outside your own country.
For data protected by the EU or UK GDPR:
- Netlify is certified under the EU-U.S. Data Privacy Framework, its UK Extension and the Swiss-U.S. Data Privacy Framework. Its data processing agreement also includes the European Commission’s Standard Contractual Clauses (and the UK International Data Transfer Addendum) as a fallback.
- Hong Kong and mainland China do not have an adequacy decision from the European Commission or the UK. Where data is shared with a separate company in these places, we use the European Commission’s Standard Contractual Clauses or another safeguard recognized by law.

6. Cookies and analytics
This website does not use cookies or similar technologies (such as local storage or tracking pixels), and it does not run any analytics or tracking script in your browser. So there is nothing to accept or reject, and you will not see a cookie banner.
We do not use any analytics or statistics service.
If we ever add cookies or tracking that require your consent, we will ask for it first and update this policy.
7. How long we keep your data

After these periods we delete the data or make it anonymous.
8. How we protect your data
The website is served only over encrypted connections (HTTPS). Access to form submissions and to our mailbox is limited to staff who need it and is protected by strong passwords and two-factor authentication. Our service providers are bound by contract to keep the data secure.
No system is completely secure. If you need to send confidential drawings, tell us and we can agree on a more secure method first.
9. Your rights
Depending on where you are and which law applies, you have the right to:
- access the personal data we hold about you and get a copy;
- correct data that is inaccurate or incomplete;
- delete your data, where we no longer need it or have no legal basis to keep it;
- restrict our use of your data in some situations;
- object to our use of your data based on legitimate interests;
- receive your data in a common electronic format, or ask us to send it to another company (data portability), where this applies;
- withdraw consent at any time, where we rely on consent;
- complain to a data protection authority. In the EU or EEA, this is the supervisory authority in the country where you live or work, or where you think the problem arose. In the UK, it is the Information Commissioner’s Office (ico.org.uk). In Hong Kong, it is the Office of the Privacy Commissioner for Personal Data (pcpd.org.hk).
Under the Hong Kong Personal Data (Privacy) Ordinance, you may ask whether we hold your personal data, ask for a copy, and ask us to correct it. We may charge a fee for a copy as the Ordinance allows, but will tell you first.
How to make a request. Email or@paxis-hk.com with "Privacy" in the subject line and tell us what you are asking for. We may need to confirm your identity before we act. We will reply within one month (GDPR) or within 40 days (Hong Kong), whichever is shorter for you, and tell you if we need more time and why. We will not charge you for most requests.
We would appreciate the chance to answer your concern before you go to an authority, but you are free to contact one at any time.
10. Changes to this policy
We may update this policy when our website or the way we work changes. The date at the top shows when it was last changed. If a change affects how we use data you have already given us, we will tell you by email where we can.
